Check-In a Visitor π‘οΈ
This guide is for Security Guards. Learn how to scan QR codes and complete the 3-step check-in process.
Before You Startβ
- Your phone camera is working properly
- You have permission to use the Luqa app
- The visitor has their QR code ready (on phone or paper)
- You understand the 3 required steps
Step 1: Open the Scannerβ
From the Home Screenβ
- Tap the Home tab (bottom navigation)
- You'll see a list of previous check-ins
- Look for the "Scan QR Code" button at the top
From the Explore Menuβ
- Tap the Explore tab
- Tap "Scan QR Code"
Camera Permissionsβ
- When first scanning, allow camera access to Luqa
- If you see "Camera Not Available," enable it in Settings β Device
Step 2: Scan the QR Codeβ

Point your camera at the visitor's QR code
- On their phone screen, OR
- On a printed paper
- On a screenshot they're showing you

Keep the code visible in the camera view

The app will automatically detect and scan the code

Wait for confirmation - You'll see the visit details appear
If the code won't scan:β
- Make sure the code is fully visible (not cropped)
- Ask visitor to increase brightness on their phone
- Try moving closer or further away
- Ensure the code is not rotated or flipped
- Clean your camera lens if dirty
Step 3: Three-Step Check-In Wizardβ
Once the QR code is scanned, you'll enter the 3-step check-in process:
Step 1: Visitor ID Photoβ
- You'll see a camera screen for ID verification
- Ask the visitor to hold their ID (passport, driver's license, national ID)
- Tap the camera button to take a clear photo
- Make sure the ID is fully visible and readable
- Tap "Confirm" or "Retake" if needed
- Tap "Next"
Good photo: The ID is centered, clearly visible, not blurry, lighting is adequate.
Step 2: Vehicle License Plate Photoβ

Ask the visitor about their vehicle (if applicable)
- If no vehicle: Tap "Skip" to proceed
- If has vehicle: Continue

Ask visitor to unlock/open their vehicle (if parked nearby)

Take a photo of the license plate
- Front or rear plate (rear is clearer)
- Plate is centered and readable
- No glare or shadows

Tap "Confirm" or "Retake"

Tap "Next"
For delivery/service: If you can't see the vehicle, tap "Skip" to proceed without the plate.
Step 3: Review & Confirmβ

Review all information:
- Resident name
- Visitor name
- Visit type (One-Time, Delivery, Frequent, etc.)
- ID photo (readable?)
- License plate photo (visible?)

If everything looks correct: Tap "Confirm Check-In"

If something needs correction: Tap "Previous" to retake photos
Check-In Complete! β β
Once you confirm:
- Visit status changes to "In"
- Resident is notified (if notifications are enabled)
- Time-stamp is recorded in the security log
- Photos are saved for the resident's history
- You see a confirmation screen
The visitor is now officially checked in and can enter the community.
Checking Out a Visitorβ
When the visitor leaves:
- Go to Home tab
- Find the visitor's visit (status: "In")
- Tap the visit
- Tap "Check Out"
- Time is recorded and status changes to "Completed"
What if It's a Resident?β
If the QR code is a Resident's personal code:
- The scan will show "Resident Entry"
- You'll still complete the 3-step check-in (ID + vehicle + confirm)
- Status updates to "In" for resident's entry log
- Process is the same, just a different type of visit
Troubleshootingβ
"QR Code Not Found"β
- Code might be blurry or damaged
- Ask visitor to show QR again on clear phone screen
- Try a fresh scan
"This code is already used"β
- The visit might have already been checked in
- Go to Home β Search for the visitor in the list
- If correct, you can check them out instead of in
"Can't take a clear ID photo"β
- Ask visitor to hold ID steadier
- Improve lighting (avoid shadows)
- Get closer for better focus
- Try again with "Retake"
"Vehicle license plate not visible"β
- It's okay to skip this step (tap "Skip")
- You only need it if the vehicle is parked visible
- Continue with check-in
"Need to reverse a check-in"β
- Unfortunately, you cannot undo a check-in
- Contact your supervisor if there's an error
- You can check out if you accidentally checked in early
Best Practicesβ
β Do:
- Be polite and professional to visitors
- Take clear, well-lit photos
- Verify ID matches the visit name
- Check-out visitors when they leave
- Keep the QR code scanner clean and functional
β Don't:
- Accept damaged or illegible ID photos
- Pressure visitors to rush through the process
- Share visitor photos with others
- Check in without photos/verification
- Close the app in the middle of check-in
Security Tipsβ
- Verify ID matches visit name - The visitor should be the person listed
- Report suspicious visitors - If something seems off, contact your supervisor
- Keep records accurate - Photos and check-in times are legal records
- Protect privacy - Don't share visitor info or photos unnecessarily
